[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide constituent management system for organize, track, manage, catalog, and archive traditional mail, e-mail, telephone messages, and fax messages from constituents.
O Record and manage constituent correspondence
O e-Mail via an integrated system with Microsoft Outlook
O Web-based form via integrated system
O Fax via integrated system
O Traditional mail via scanning and attaching a file to a constituent record
O Manual entry of telephone calls
O Social Media and Texting via integrated system
O able to create and edit form letters, formats and other documents using integrated HTML editor without Microsoft Word
O ability to create and assign Issue codes to identify correspondence or out-going letters by “topic”.
O ability to automatically process incoming email based on user-defined rules
O ability to alert users when a selected letter has already been sent to the intended recipient or to members of the same household
O capability to create output in hard copy paper letters, email and social media messaging
O allows for check-in/check-out and version control. Record security also needs to be available for edit, read or no-access rights.
O allow end-to-end management of newsletters from editing and audience selection to publishing and tracking.
O ability to batch send email using server resources and to allow email or newsletters to be sent at a previously set, scheduled time
O able to support foreign addresses and foreign characters
O ability to import results and questions from telephone town hall events.
O ability to configure and store multiple “From” email address options for use in outbound email
O ability to create customized workflows leveraging a user-friendly workflow template builder that is no code/low code solution
O Calendar scheduling, invitations, and public events management via an integrated system with an existing office automation tool like Microsoft Outlook or Google.
O able to limit the ability to edit/delete information within activity log notes so that this ability can be restricted to managers, or the current owner of the record.
(2) A pre-bid conference will be held on September 13, 2019.
(3) All questions must be submitted no later than September 13, 2019.
(4) Contract period will be one year.

[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
